For bookkeeping & accounting firms
Month-end shouldn't mean chasing forty clients for receipts.
Every client file needs the same things every month: statements collected, transactions reviewed, payments matched, a report sent. We build the systems that do the repeatable parts across all your files, so your team spends its time on the judgment calls, and the firm can take on more clients without hiring.
What we'd build
What we'd automate in a bookkeeping practice.
The same work, done once, across every file.
Client document chase
Missing statements, receipts, and payroll reports requested automatically on a schedule, with polite reminders until they arrive, and a single list showing exactly who still owes you what.
Transaction review
New transactions checked against each client's history. Routine ones are suggested for approval; anything unusual — a new vendor, an odd amount, a likely personal expense — is flagged for a person to decide.
Reconciliation exceptions
Deposits and payments matched to open invoices, including one payment that covers many invoices or arrives short. Clean matches are ready to approve; only the exceptions reach your team.
Bills from the inbox
Supplier bills and receipts forwarded by clients read, matched to the right vendor and account, and entered as drafts for review, so nobody retypes a PDF.
Month-end close tracker
One view across every client file: what's reconciled, what's waiting on the client, and what's blocking the close, updated automatically instead of kept in a spreadsheet.
Client reporting
A plain-language monthly summary for each client — what came in, what went out, what to watch — drafted from their books for you to review and send under your name.
Works with QuickBooks Online · Xero · Sage · Dext · Hubdoc · Karbon · Financial Cents · Wagepoint · Plooto · Microsoft 365 · Google Workspace, and whatever else you run. We confirm what connects in the first conversation.
What it looks like
One client's month-end, start to finish.
The month closes
Statement requests go out automatically. Two days later, the client who hasn't sent their credit card statement gets a friendly reminder.
The books are prepared
Transactions are reviewed against the client's history, bills from their inbox are entered as drafts, and payments are matched to invoices.
Your team reviews exceptions
Instead of the whole file, your bookkeeper sees the dozen items that actually need a decision, each with the evidence attached.
The client gets a report
A short summary of the month is drafted from their books. You review it, add your advice, and send it.
You stay in control
Your judgment stays in the loop.
Anything that touches a client or your money waits for a person to approve it. The system handles the execution. You keep the call.
Built on our own work
Built by someone who's carried it.
This is the work we do every day. We're building payment reconciliation in QuickBooks Online for an Ontario relocation company that deals with large corporate payers, and our collections and weekly financial reporting systems run daily in a multi-location service business — reading real invoices and matching real money.
Behind it: twenty-five years operating real businesses — retail, construction, solar, investment funds, engineering. We've chased the receivables and signed the paycheques ourselves.
Common questions
What firm owners usually ask first.
Will this replace my bookkeepers?
No. It takes the repetitive parts off their plate so they can handle more files and spend their time on the work clients actually value. Every decision that touches a client's books still goes through a person on your team.
Where does our clients' data go?
It stays in your existing systems wherever possible. Our automation server runs in Canada (Montreal), access is limited to what each workflow needs, and we document exactly what data moves where before anything is built.
Do we have to change our software?
No. We build around the stack you already run. Integration depth varies by tool, so we confirm what's possible in the audit, before you commit to a build.
Can you help our clients too?
Yes. A lot of what makes a file messy starts in the client's own systems. We're happy to work alongside you on those, so the fixes make your job easier rather than cutting you out.
