For relocation management & moving companies

Every move runs on a dozen handoffs. Most of them run through someone's inbox.

Survey data re-keyed into the move file. Corporate remittances matched to invoices by hand. Partner invoices chased down one email at a time. We connect the systems you already run so the file moves forward without someone carrying it.

What we'd build

What we'd automate in a relocation or moving business.

Around your platform, not instead of it.

Corporate AR reconciliation

Remittances from large corporate payers — one payment, dozens of invoices, the odd short-pay — read and matched against open invoices. Clean matches are queued for approval; exceptions go to a review screen instead of a spreadsheet.

Works with QuickBooks Online · email remittances · bank feeds

Survey-to-quote

Inventories from virtual surveys run through your own tariff and rate tables to produce a draft quote in minutes. A person checks it before it goes out.

Works with Yembo · your rate tables · QuickBooks

Intake capture

The needs-assessment conversation with the transferee is transcribed, and the details that matter — family, timing, special items, follow-ups — land in the move file as an action list.

Works with Microsoft 365 · Teams · your move-management platform

Stalled-file watch

Email threads scanned daily for unanswered questions, missed commitments, and files that haven't moved. Coordinators get a short list each morning of what needs attention.

Works with Outlook · Gmail · your move-management platform

Partner & supplier invoices

Destination-agent, storage, and supplier invoices read, matched to the right file, and coded — so nobody re-types them and nothing gets billed twice.

Works with QuickBooks Online · email · PDF

Post-arrival check-ins

Consented check-ins after arrival, with any issues routed to the right coordinator — and a record of the experience you can show your corporate clients.

Works with Email · SMS · your CRM

What it looks like

One corporate remittance, start to finish.

  1. A remittance arrives

A corporate client pays 38 invoices in one transfer and emails a PDF listing them — two are short-paid, one references an invoice number with a typo.

  2. The system reads and matches

Every line is read and matched to the open invoices in your accounting system, including near-matches on mistyped references.

  3. Exceptions go to a person

The 35 clean matches are ready to approve in one click. The short-pays and the typo are flagged with the evidence side by side.

  4. Payments post

Once approved, the payments are applied in your books. What used to take an afternoon takes a few minutes of review.

You stay in control

Your judgment stays in the loop.

Anything that touches a client or your money waits for a person to approve it. The system handles the execution. You keep the call.

Being built now

Built by someone who's carried it.

We're building AR reconciliation for an Ontario relocation management company right now — matching remittances from large corporate payers against open invoices in QuickBooks Online, with every match reviewed by a person before it posts.

Behind it: twenty-five years operating real businesses — retail, construction, solar, investment funds, engineering. We've chased the receivables and signed the paycheques ourselves.

Common questions

What relocation and moving owners usually ask first.

Do we have to replace our move-management platform?

No. We build around the platform you already run. It stays the system of record; we fill the gaps between it and your email, surveys, and accounting — and write results back into it where the platform allows, so your coordinators aren't working in two places.

Our client data is sensitive. Where does it go?

Your data stays in your own systems wherever possible. Our automation server runs in Canada (Montreal), and anything that touches a client or your money passes through a human approval step first. We'll document exactly what data moves where as part of the audit.

Where would we start?

Usually by following one move end to end — every point where information changes hands — and costing the workarounds in hours. That's the Operations Audit. You get the map and a ranked plan whether you build with us or not.
